What We Do

We offer our land, sacred spaces, and accommodations for organizations, collectives, and groups. In addition, we offer our own specialized programs that encourage learning, growth, and right relationship with self, others, and land. We can comfortably host up to 35 people.

 

Role Description

Hope Springs Institute is seeking an Executive Director, hired by and reporting to the HSI Board of Trustees. The Executive Director’s responsibility is to see that all programming, financial, fundraising, and operational needs of the organization are managed such that the staff team can effectively perform the tasks that are involved in developing, hosting, and leading programs and retreats. This includes all administrative, development, and financial duties necessary to keep HSI operational, financially healthy, and able to promote its mission. The ED is expected to work onsite at least two days a week. Housing accommodations may be a part of the benefits package.HSI seeks an Executive Director who will work with the Board and staff to ensure that the mission of Hope Springs Institute is fulfilled through strategic planning, program management, and outreach to the Hope Springs communities.

 

Responsibilities

The position includes, but is not limited to:

Program and Retreat Management

  • Schedule retreats in collaboration with HSI presenters, facilitators, retreat participants, and the HSI Leadership Team

  • Work with the Board to develop and deliver selected programming sponsored by HSI

  • Create and sustain facilitator relationships

  • Collaborate with Operations Manager and Controller on calendar bookings and invoicing

  • Create, update, and manage the annual booking calendar for revenue and cashflow projection
     

Operations

  • Support and supervise the Operations Team

  • Annual policy review and development: booking rates, contract terms for facilitators, program rates, guest use, land use, cancellation, refund, personal retreats, employee handbook, conflict of interest forms, etc

  • Attend staff meetings and guide attention to the mission

  • Sit as a member of the Facilities Committee; coordinate communication with the Operations team and responsible parties to manage the property

 

Organizational Leadership

  • Visioning work/research around organizational structures and operational systems better practice, like donor management or community engagement

  • Design and implement appropriate relationship and community-building activities and events with special attention to fundraising opportunities, ie. Community Gatherings, Community Calls, large donor connection-building, etc

  • Perform on-going market analysis and networking activities to gain new business and maintain existing retreat relationships

 

Administration

  • Manage incoming email correspondence and respond in a timely manner

  • Maintain HSI Google Drives, calendars, and HSI email addresses

  • Maintain HSI Contact database on WIX. Update demographics with each event

  • Maintain Donation spreadsheet/Annual Donor database. Support the Volunteer Committee with contact information and donor, i.e. information for thank you notes and other volunteer activities

  • Oversight and management of Quickbooks. Responsible for recording/categorizing all transactions accurately and within a timely manner.

  • Manage website re: events and content

  • Social Media support

  • Newsletter and bulk email creation/facilitation

 

Financial Stewardship

  • Oversight and management of all financial accounts in collaboration with Controller

  • Oversight and management of all accounts payable in collaboration with Controller. Reviewing vendors and services to make sure HSI has what it needs at a reasonable price as well as paying all bills accurately and in a timely manner.

  • Oversight and management of insurance, BWC, and unemployment accounts as well as the commercial kitchen license. Ensure compliance with federal, state, and local regulations. Maintain comprehensive records.

  • Close management of cash flow, keeping the finance committee and Board informed regarding trends and predictions. Requesting Board approval on purchases exceeding $5000.

  • Works with the Finance Committee to develop the annual budget, review quarterly reports, identify/evaluate financial trends, update bank signers, and review IRD Form 990.

  • Consideration and management of purchase requests from maintenance, kitchen, and operational staff, i.e. order propane as requested by maintenance staff if/when cash flow allows.

  • Budget oversight. Offer support and training to staff who have spending responsibilities (need more time to focus in this area)

  • Bi-weekly payroll processing. Communication with the payroll company. Responding to payroll questions from staff. Submitting 1099 information annually to the accountant.

  • Work closely with Sustaining Circle leadership and donors.

  • Manage Infinite Giving platform as well as record Stripe, PayPal, and Infinite Giving payments or donations to Quickbooks

  • Maintain Charity registration through Benevity et al as necessary for grant applications or corporate donations/matching gifts

  • Ensure all Federal and State reporting requirements are met as to maintain 501c3 status

 

Board Governance

  • Work with the Board to fulfill the mission of the organization.

  • Provide a written ED report for each official meeting and work with the Board to develop an ED monitoring report.

  • Works on special projects as requested

  • Must be available for regular monthly Board Meetings and special calls as needed
